"Have a handful of vendors' phone numbers in front of you; give them a call. If you have a budget, look around and see what your options are. Take an extra 30 minutes and see what other people have. Look around because you will get lower cost and a better part and you will know who it is coming from instead of going to a sourcing company."

"Try to provide as much detailed information regarding the requested part as possible, such as part number, description, location of the part within the system, and what are the symptoms of the problem. All this will help to provide a quicker response and troubleshooting ideas."

"It's always important in the third party arena to know who you are dealing with and how they handle the equipment and parts. Do they test their gear? How thoroughly? What kind of warranty do they provide? Check out their references. If you do that, you'll find most of the bigger parts providers do a good job."

"
Hospitals should know specifically the part they are purchasing. The terms 'refurbished' and 'used/tested' are used loosely. Ask pointed questions: What is the refurbishment or repair procedure? How do they test functionality? Is it in the [health care] facility or do they have quality assurance bays on site? From there, we may all be in the same ballpark on price. So a telltale sign is the length of the warranty."

"The vendor needs to be trusted. A warranty is key, as the supplier needs to stand behind their product. Support is also very important. Even if the biomed has a part number, there may be additional details needed (such as system / software compatibility). Hospitals need to work with suppliers that are familiar with all of these nuances. Finally, after the sale support/consultations may also be needed. A good supplier will include the support (both before and after the sale) in the price of the part and not try to charge for every short consultation."

"Find a reputable parts source, and stick with them as much as possible. Parts sourcing is an 'open eyes' business. One vendor will never have all the parts all of the time. Stay informed on who is operating in that market, and try to learn about them."
